Mission

Geneva Call is a neutral and impartial non-governmental organisation dedicated to promoting respect by Armed Groups, De Facto Authorities (AGDAs) and Provisional Governments for international humanitarian norms in armed conflict and other situations of violence, in particular those related to the protection of civilians. Geneva Call focuses its efforts on banning the use of anti-personnel mines, protecting children from the effects of armed conflict, prohibiting sexual violence in armed conflict, working towards the elimination of gender discrimination, protecting civilian infrastructure, and ensuring humanitarian access.

Description

As part of the Donor Relations Unit team, the Grants and Compliance Administrator plays a key institutional role in ensuring that grant administration and donor compliance standards are consistently upheld across the organization. The position ensures that reporting cycles are proactively initiated, coordinated, and quality-assured, and that all donor requirements are met in a timely and accurate manner. The Administrator provides structured and ongoing support to grant owners and all relevant units to ensure transparency, accountability, and compliance throughout the grant life cycle, thereby safeguarding the organization’s credibility and donor confidence.

The Grants and Compliance Administrator ensures clear and effective communication on grant-related obligations, compliance requirements, and reporting responsibilities. The role ensures that grant reporting is timely, accurate, consistent with donor requirements, and aligned with internal standards and systems. The Administrator supports the implementation of grants in accordance with the relevant contractual and compliance frameworks and advises on amendment requirements when necessary.

Internal Relations

  • As part of the Donor Relations Unit, works in continuous collaboration with colleagues in the Unit across portfolios.
  • Reports to and works closely with the Deputy Head of Donor Relations.
  • Coordinates with grant owners, Finance, Donor Relations, Operations, Human Resources, MEAL, and other relevant HQ and field-based units to ensure aligned grant administration and compliance approaches.
  • Works in close coordination with temporary staff and interns supporting the Unit.

Grant administration

  • Ensure accurate and comprehensive grant information and compliance records are maintained.
  • Ensure grant-specific contractual obligations, compliance requirements, reporting schedules, and templates are recorded and/or stored for access.
  • Support periodic grant management reviews and closure meetings.

Grant compliance and reporting coordination

  • Drive institutional adherence to relevant donor requirements, regulations, and ethical standards related to grant management and donor relations.
  • Provide guidance and respond to data requests on the fulfilment of grant obligations and compliance requirements (operational, administrative and financial).
  • Maintain systems to track internal workflows and deadlines for donor reporting, audits, evaluations, and amendments.
  • Work with grant owners and relevant functional teams to ensure timely donor submissions, high-quality narrative and financial reporting.
  • Conduct internal quality assurance checks on reports and related documents before submission to the donor.
  • As required, serve as liaison with donors on grant compliance and reporting issues.
  • Contribute to the identification of areas of improvement of institutional policies, procedures and tools, and strengthening of the capacities of grant management teams to enhance grant compliance and reporting quality.

Additional responsibilities

  • When required, travels to field missions to support Geneva Call’s field operations.
  • Contribute to institutional efforts aimed at increasing Geneva Call’s visibility through public and donor-focused events, side meetings, and joint advocacy or communication opportunities.

Technical skills and experience

  • At least 6 years of work experience in the fields of development cooperation, peace building and/or humanitarian aid.
  • At least 6 years of work experience in grant management activities, donor reporting (both narrative and financial) and compliance oversight.
  • Knowledge of donor expectations, grant compliance and reporting requirements, standard terms and conditions and related good practices.
  • Experience coordinating and facilitating inputs across multiple teams/departments under tight deadlines.
  • Written and spoken fluency in English and French; knowledge of a third EU language is an asset.

Education

  • An advanced university degree in a relevant field (such as development or social studies, international relations, or similar).
