The mission of Facilities and Administration Services Department (FAS) is to deliver facilities and general administrative services for our staff, stakeholders and visitors, that meet international standards, ensuring cost-effectiveness, responsiveness, and alignment with Bank needs. FAS is hiring a Workspace and Facility Management Associate to effectively support the Bank's strategic expansion into global hub offices. This position is essential to deploy centralized workspace and facility management services across all locations. The role will support headquarters (HQ) senior staff in delivering consistent, compliant, and efficient facilities, lease, and administrative services and contribute to the scalability, transparency, and sustainability of AIIB’s global presence. The role will act as the vital liaison between HQ and the hub offices, coordinating services, managing vendors, and providing streamlined operational support.
Responsibilities:
- Act as the primary point of contact between service contract owners in the HQ (i.e., in the Facilities and Administration Services Department (FAS)) and global hub offices to support centralized service delivery.
- Facilitate communication to ensure that hub offices’ needs are addressed in line with HQ policies, standards, and timelines.
- Support service setup, transition, and ongoing operations for new and existing hub offices.
- Coordinate with internal stakeholders and service providers to implement standardized facilities and administrative procedures across hub offices.
- Provide operational support to centralized services covering multiple locations, ensuring consistency and efficiency.
- Support the management and tracking of the global hub office lease portfolio, including key lease terms, milestones, and obligations.
- Assist in monitoring lease-related risks, renewals, variations, and compliance requirements in coordination with HQ and external advisors.
- Maintain accurate and up-to-date lease records and documentation for all hub offices.
- Assist contract owners in managing centralized service contracts and vendors, including contract variations, vendor performance reviews, and service reporting.
- Assist with processing vendor payment claims and maintaining contract-related documentation.
- Support budget planning, budget execution tracking, and financial reporting related to hub office operations.
- Assist in identifying cost-efficiency opportunities and tracking the financial performance of centralized services.
- Collect, validate, and consolidate data related to leases, space, project delivery, facilities services, and financial and performance metrics.
- Support the development and upkeep of dashboards and management reports to enhance visibility, transparency, and data-driven decision-making across locations.
- Ensure data accuracy, consistency, and alignment with HQ reporting standards.
Requirements:
- Minimum 3-5 years of relevant experience in facilities management, administration, or project support in multilocation or centralized models.
- Bachelor’s degree in real-estate services, engineering, business administration, or a related field.
- Proficiency in using analytical and reporting tools.
- Strong coordination, organization, and communication skills.
- Ability to work with multiple stakeholders across locations and functions.
- Good analytical skills, with attention to detail, particularly in reporting and documentation.
- Proficiency in verbal and written English.
