How can you make a difference?
The purpose of this consultancy is to provide hands-on administrative and technical support across key backend functions, including financial processing, data management, and supporter care. The consultant will play a critical role in maintaining data integrity, ensuring smooth financial reconciliation, and supporting supporter stewardship, thereby enabling the Individual Resource Mobilization Lead to focus on strategic priorities and growth.
Under the direct supervision of the Individual Resource Mobilization Lead and the general supervision of the Chief Partnerships, Advocacy and Communication, the consultant will undertake the following tasks:
Financial Processing & Reconciliation
- Process, track, and record financial contributions through multiple channels, including online platforms and digital and campaigns
- Support the reconciliation of transaction data across platforms and internal records
- Identify, investigate, and flag discrepancies or failed transactions
- Maintain organized documentation of transactions for audit and reporting purposes
- Liaise with Finance and relevant external vendors or platform providers as needed
Data Management & Platform Administration
- Perform supporter data entry, cleaning, validation, and updates across CRM systems and relevant platforms
- Ensure consistency and accuracy of supporter records across systems
- Support data imports, exports, and segmentation for campaigns and reporting
- Maintain strong data hygiene practices in line with UNICEF data protection standards
- Assist in troubleshooting basic data or system issues
Supporter Care & Stewardship Support
- Manage timely supporter acknowledgments (receipts, thank-you messages)
- Respond to supporter inquiries and service requests in a professional and timely manner
- Track and follow up on supporter feedback or complaints
- Support implementation of supporter retention and stewardship activities
- Maintain records of supporter communications
Operational Support for Resource Mobilization
- Support backend setup for campaigns (forms, tracking links, system alignment)
- Prepare routine operational reports (supporter data, campaign tracking)
- Assist in documenting standard operating procedures (SOPs) and workflows
- Contribute to process improvements to enhance efficiency and reduce errors

Minimum requirements:
- Education: Bachelor's degree in Business Administration, Finance, Information Systems, Marketing, or a related field

Work Experience:
- Minimum 1-2 years of relevant professional experience (aligned with NOA level):
- Experience in administrative, operations, data management, or resource mobilization support roles
- Experience working with databases, CRMs, or digital platforms
- Experience in NGOs, resource mobilization, or customer/supporter service is an asset.
- Language requirement: Fluency in in both English and Vietnamese.
• Skills / Technical Skills:
- Proficiency in Microsoft Excel and data management tools
- Familiarity with CRM systems (e.g. Salesforce) and digital payment platforms is an advantage
- Strong attention to detail and ability to manage large datasets.
