The Quality Assurance Centre in UNICEF Supply Division, Copenhagen is looking for a dedicated Quality Assurance Assistant (GS-5 level) to be part of the Quality Management Unit.

The Quality Management Unit (QMU) is part of the Quality Assurance Centre (QAC) in Supply Division (SD).

QMU is responsible for establishing and maintaining an effective document management system for all documentation needed to ensure the effective planning, operation and control of SD processes such as procedures, manuals, Supply Directives, Quick Reference Guides, and Supply Manual as well as records that provide evidence of conformity to the effective operation of SD.

QMU also works to develop and maintain processes, which will continually cover the critical areas related to continual improvement of quality results such as handling complaints/deviations, tools for problem solving and identification, implementation and check the effectiveness of the corrective actions.

 

How can you make a difference?

The Quality Assurance Assistant reports to the Quality Assurance Officer within the Quality Management Unit in the Quality Assurance Centre. The Quality Assurance Assistant is responsible for providing assistance to the improvement and update, and Quality Management System (QMS) documentation, the Supply Manual and for the publication of Supply Directives, as well as administrative tasks within the Unit/Centre.

 

The incumbent of this post is expected to take on the following key functions and accountabilities:

  • Prepare drafts and final versions  of the documents regarding new or existing QMS documentations
  • Perform quality control and check the consistency of the documentation, in terms of the correct SD taxonomy, grammar, language, and new terminology introduced by the revised ISO 9001
  • Collect comments from QMS focal points and consolidate them
  • Liaise and assist the  process owners on the changes of the documentation
  • Post the documentation on the intranet
  • Manage and control records of the QMS documentation
  • Alert proactively the QMS focal points on the expiring of their DPs-CPs
  • Prepare reports for QMS focal points and management about the status of the documentation
  • Assisting QAC in the transition to the Electronic Documentation Management System
  • Prepare and review all the existing QAC and QMS documents in view of the implementation of the Electronic Documentation Management System and the Digital Supply Manual
  • Assist in the implementation of the Regulatory framework (Supply Manual and Supply directives )
  • Review the existing hard file archive in order to categorize the files and archive the old version properly
  • Review the current procedures about managing files in QAC
  • Design and implement new templates for the correct editing and coding of the QMS documentation
  • Assist in the preparation of training materials for courses related to QMS
  • Act as Knowledge Coordinator (internet and intranet posting)

 

To qualify as an advocate for every child you will have…

Requirements:

  • Residency and valid work permit for Denmark
  • Completion of secondary education
  • Additional relevant training in quality assurance
  • At least five years of experience in administrative duties, two of which should be in implementing a quality management system
  • Very strong skills in verbal and written English as the incumbent of the position will be drafting and reviewing complex technical text.

     

Desirables:

  • Experience in working for an international organization.
  • Knowledge of another official UN language (Spanish, French, Arabic, Chinese, Russian)
