COORDINATION OFFICER

Under the general authority of the Chief of Staff, the incumbent will be responsible for the management of the Secretariat of the Office of the Director-General.


More specifically, the incumbent will\:

  • Coordinate programmes/activities, administrative matters and issues of the Cabinet of the Director General;
  • Coordinate, together with the concerned Sectors and Bureaux, the organization of the official engagements of the Director-General within and outside the Organization;
  • Organize all official visits of the Director-General within and outside the Organization in liaison with the Sector of External Relations and Public Information, the concerned Sectors and Field Offices, including safety and security matters;
  • Coordinate and ensure the preparation and examination of correspondence, Director-General’s notes, files and briefings submitted by the Sectors/Bureaux, communication and follow-up to decisions;
  • Oversee and supervise the preparation of various written outputs and correspondence e.g. background papers, analysis, briefings, progress reports, inputs for publication etc., and provide substantive inputs to such documents;
  • Perform other related duties that may be assigned.

Education

  • Advanced university degree (Masters or equivalent) in Business or Public Administration, International Relations, or other related fields.

Work Experience

  • Minimum of four (4) years of relevant professional experience in coordination/support role for senior officials, of which preferably two (2) years acquired at  international level.
  • Experience in organizing official visits and engagements.

Skills/Competencies

  • Understanding of UNESCO’s strategic direction and familiarity with the substance of UNESCO’s scope.
  • Demonstrated coordination and organizational skills.
  • High sense of objectivity, professional integrity and diplomacy.
  • Knowledge of general management practices and techniques.
  • Ability to manage and meet deadlines.
  • Strong analytical and problem-solving skills; initiative in resolving complex and sensitive issues; judgment and tact.

  • Demonstrated ability to coordinate change processes.
  • Excellent interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity.
  • Excellent communication skills with strong representational abilities.
  • Excellent drafting skills.

Languages

  • Excellent knowledge English or French and good knowledge of the other language.

Education

  • Other degrees or short- to medium-term training in disciplines relevant to the post.

Work Experience

  • Experience in guiding and advising staff  in a multicultural environment.

Skills/Competencies

  • Ability to interact with a wide range of high-level partners and to  develop partnerships.
  • Proven ability to manage and motivate a team in a multicultural environment.

Languages

  • Knowledge of other official UNESCO  languages (Arabic, Chinese, Russian and Spanish).
