Background

The Youth National UN Volunteer Administrative Assistant position will be located in the UNDP Kazakhstan Country Office. Under the direct guidance and supervision of the Administrative Associate, and as a member of the operations team, the Administrative Assistant will provide administrative support to the office, maintaining full confidentiality in all aspects of assignment, maintenance of protocol procedures, information flow and follow up on deadlines and commitments made.

Duties and Responsibilities

The Youth national UN Volunteer Administrative Assistant will provide support to the Operations Unit in implementation of everyday activities. The national UN Volunteer will work under direct supervision of the Administrative Associate and under oversight of the Operations Manager. The national UN Volunteer will provide daily support involving clerical duties to Administrative, Procurement and HR Units.

The national UN Volunteer will undertake the following tasks:

Scope of work for Administrative Unit:

  • support to office maintenance, assets and inventory managements;
  • managing documents and files (incl. copying, printing);
  • rosters update on vendors (interpreters, photographers printing companies, stationary etc.);
  • daily support to administrative and logistical services;
  • daily support to travel management processes;
  • support in arrangements of travel and hotel reservations, processing requests for visas, identity cards, migration registration and other documents;
  • logistical support on conferences, workshops requested by non-accredited Agencies;
  • support in collecting of information requested by UN Agencies and conducting other administrative surveys;
  • copying and searching documents for VAT return;
  • assistance in various daily administrative duties upon request. 

Scope of work for Human Resources Unit:

  • assistance in scanning, filing and archiving folders; 

Scope of work for Procurement Unit:

  • support with scanning the procurement documents, archiving and filing the procurement folders. 

Furthermore, UN Youth Volunteers are required to:

  • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);
  • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;
  • Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities;
  • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;
  • Assist with the UNV Buddy Programme for newly-arrived UN Youth Volunteers;
  • Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

Competencies

Required Skills and Experience

  • A candidate should be under 29 years old;
  • Bachelor’s degree in business administration, finance or other related fields;
  • At least 1-2 years of work experience in administrative and/or financial field. Work experience in UN or UNDP projects or in cooperation with international organizations would be an asset.
  • Good writing and editing skills in English.
  • Excellent interpersonal, communication and facilitation skills; as well as good organizational skills.
  • Ability to work in an environment requiring liaison and collaboration with multiple actors including government representatives, donors and other stakeholders
  • Ability to plan and work in a high-pressure work environment under tight deadlines.
  • Good PC commands (Word, Excel, Internet Explorer, etc.).
  • Fluency in English and Russian. Kazakh is an asset.
