An Operation section under UNICEF East Asia and Pacific Regional Office (EAPRO) and Thailand Country Office is seeking a qualified individual consultant to provide support on office Administration; covering general administrative tasks and functions within an office, coordinate with internal and external stakeholders at different level, property management, Travel administration support, Human Resources and back-filling as needed when insufficient capacity arises.

An Operation section under UNICEF East Asia and Pacific Regional Office (EAPRO) and Thailand Country Office (TCO) is seeking a qualified individual consultant to provide support on office Administration; covering general administrative tasks and functions within an office, coordinate with internal and external stakeholders at different level, property management, Travel administration support, Human Resources and back-filling as needed when insufficient capacity arises.
Work Assignment:
Under the supervision of Senior Administrative Associate, the consultant will undertake the following tasks:
- Provides support on registration of documentation for dispatch to UNICEF Country Offices, and registration.
- Registers and distributes incoming invoices to various units including following up on the status of settlement of vendor invoices in CSU-Admin sub unit.
- Distributes office stationary and supplies. Also, supports Administrative Associate to monitor administrative supplies and updating inventory of stationary and other office consumables.
- Establishes and maintain the CSU office filling and reference systems.
- Prepare VAT applications for office transactions in collaboration with Supply Assistant.
- Provides support on procurement administration on bidding documentation filling and organization.
- Backstop for telephone operator and front office at the gatehouse.

Supports on budget monitoring:
- Supports requests for data collection pertaining to admin-related expenditure.
- Prepares data on administration supplies utilization as required.

Supports administrative tasks related to meeting/events:
- Supports bookings and logistical arrangements for internal and external meetings.
- Maintains office conference/meeting rooms calendar.
- Acts as focal point in CSU-Admin sub-unit in coordination with relevant parties internally and externally for meeting and conference arrangements, in particular caterers and meeting room seating arrangement.
- Monitors/tracks and reports on the use of the conference centre.
- Other tasks as assigned by supervisor.
End Product: Progress monthly report against the completion of the above work assignments and agreed workplan with the direct supervisor.
Estimated Duration of Contract: 8 months, starting ASAP.
To qualify as an advocate for every child you will have…
- University degree in social science and general management discipline.
- Thai Nationality.
- Minimum 5 years of work experience in general administrative and supply field.
- Thai and English Proficiency.
- Excellent knowledge in MS-Office and all office automations.
- Previous experience in supporting office administration and management requires.
- Proven track record of working in fast-pace environment, non-profit organisation and an international organization, especially in UN system preferred.
- Knowledge about administration functions in UN system is a strong asset.
- Good planning, organizational, interpersonal and problem solving skills.
- Attention to details. Service-oriented, good people management skill
- Ability to handle and complete multiple tasks within deadlines.
- Demonstrate ability to work well in multi-cultural environment and people with diverse background
- Ability to work independently and as a part of a team.
