Job Description

The Senior Manager, Facilities Development and Project Management at the IRC requires strong organization skills, excellent interpersonal skills, and the ability to work well in a distributed, multicultural environment. This position, working closely with the Director of Global Real Estate & Facilities, will manage the move or renovation of the New York Headquarters Office and will work with multiple stakeholders to ensure a smooth HQ office transition. The Senior Manager will also have a strategic role bringing subject matter expertise and facilitating decisions regarding space planning, interior design, and optimizing worker productivity and collaboration through effective workspaces.

Major Responsibilities:

  • Lead Strategic Facilities Design and Space Planning: Responsible for coordinating and engaging with external vendors, experts and internal stakeholder to ensure optimal design and space planning for either renovation of current HQ facilities or design of new facilities.

  • Conduct Office Move/Relocation Planning: Creates and maintains a detailed office relocation/renovation project plan. Works closely with the Director of Global Real Estate & Facilities, along with other facilities managers, outside consultants, etc. in order to define/refine the project scope. Facilitates the gathering of information required for the level of effort analysis to estimate project cost, resources, time and deliverables. Negotiates conflicts and resolves issues that arise during this process.

  • Monitor Office Move/Relocation Progress: Continually monitor progress of the office move/relocation, and “trouble shoot” execution to spot and head off potential problems early. Monitors the project identifying resource needs, performing quality reviews; and escalating scope, budget, quality, timeline issues appropriately.

  • Ensure Timely and Effective Office Move/Relocation Status Reporting and Communications: Prepares status reports to convey project scope, goals, milestones, budget, risk, status, change requests, and critical issues to the project team and impacted employees. Communicates effectively with all stakeholders to get work done.

  • Manage Office Move/Relocation Stakeholder Relationships: Coordinates with appropriate stakeholders across the organization regarding office move and renovations. Develops and maintains a productive working relationship with business owners, project sponsors, and department leaders.

  • Lead Office Move/Relocation Resource Management: Determine staffing requirements needed to form project teams. Provides work direction and leadership to assigned projects, including scheduling, assignment of work and review of project efforts.

  • Facilitate Office Move/Relocation Procurement Planning and Contract Management: Assists with identifying which resources and services needed to be procured to facilitate this office transition. Describes technical or other issues that need to be considered and assist in the development and execution of required contacts with external parties.

  • Ensure Effective Office Move/Relocation Risk Management: Identifies the elements of risk in a project. Analyzes and prioritizes this risk and assesses its potential project impact. Develops and maintains risk plans, processes and systems in order to mitigate such risk, with assistance. Creates action plan for risk that occur and follows through on plan.

  • Conduct Project Budget Management: Utilizes various tools and techniques for estimating costs associated with a project including physical, financial, and human capital costs. Develops a detailed cost baseline from cost estimations. Refines project cost estimates. Continuously monitors the actual cost of a project versus the budget. Reviews bills and evaluates factors that may potentially cause cost changes.

  • Facilitate Office Move/Relocation Problem Solving: Identifies project related problems. Engages in effective brainstorming. Brings creative solutions to the address office transition issues. Implements identified solutions.

Qualifications

Education Requirements

  •     Minimum of 8 years of experience with a BS in Project Management, Facility Management, Construction Management, Architecture, Project Strategy or some related degree

    Experience Requirements

  •     8+ years of increasing responsibility in managing occupancy planning, facilities management, space management, moves management, and CAD Management processes across a broad geography in a remote and virtual environment

Knowledge and Skill Requirements

  •     Expertise in workplace design and space planning

  •     Strong working knowledge of architectural drawings and furniture solutions, real-estate contracts

  •     Ability to successfully communicate with contractors, business partners, vendors and team members

  •     Demonstrated high level of performance in project budgeting and scheduling as well as vendor oversight and coordination

  •     Ensure strong understanding of professional, ethical and legal standards

  •     Sound understanding of building regulations.

  •     Intercultural competence

    Preferred Additional Qualifications

  •     Familiar with industry standard software associated with project, facilities, and space management e.g., Microsoft Project, CAD, Visual Directory, etc.

    Working Environment:  

  •    The position will work in the New York City Headquarters location and is expected to be on-site

  •    Standard office work environment

  •    Some international travel may be required
