ORGANIZATIONAL CONTEXT

These jobs are found in Regional Bureaux (RBs), Country Offices (COs), Area/Field Offices (AOs/FOs). The job holders typically report to a Programme Policy Officer or the designate.
At this level, job holders are responsible for the completion of a range of specialized and/or standardized processes and activities requiring some interpretation of standard guidelines and practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff. They work under minimum supervision, perform basic analyses and compile reports to support information consistency and smooth implementation of programmes/projects.

JOB PURPOSE

To perform specialized and/or standardized policy and programme-related processes and activities to support the effective delivery of assistance packages.  

KEY ACCOUNTABILITIES (not all-inclusive)

Within delegated authority, the Programme Assistant will be responsible for the following duties: (These duties are generic and thus are not all-inclusive nor are all duties carried out by all position holders).

  • Support operational planning of activities, field missions, organization of events and workshops.
  • Facilitate and coordinate some required livelihoods assessments like ICA (Integrated Context Analysis), SLP (Seasonal Livelihoods Plan) and CBPP (community-based participatory plan).
  • Compile data and provide basic analysis, maintain accurate records and files and prepare periodic and ad hoc reports for further reviews, to support accuracy and efficiency of information presented to internal and external stakeholders.
  • Enter accurate data in corporate systems within the established deadlines, to enable easy access to information and support planning and decision-making.
  • Keep track of all official correspondence, notes verbales, notes for the record, and exchange of information with national and international stakeholders.
  • Develop financial planning and monitoring tools and processes for the effective fund management by the Livelihood & Social Safety Nets unit.
  • Facilitate regular communication with other WFP units in the Country Office (Finance, Admin, Protocol, Partnership, Information Technology, M&E) as well as with WFP Field Offices as needed.
  • Perform other related duties as required.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
 

Experience : at least four years of progressively responsible work experience in general administrative work , preferable in the area of humanitarian affairs, information systems , communication . 

 

Knowledge & Skills:  

 •    Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
•    Knowledge of work routines and methods in order to complete processes under minimal supervision.
•    Strong knowledge of spreadsheets and databases (MS Excel and MS Access) or other databases
•    Ability to present information in the form of tables, charts and diagrams easily comprehensible
•    Ability to identify data discrepancies and rectify problems requiring attention
•    Solid organizational skills including attention to detail and multitasking skills
 

Language: Fluency in both oral and written communication in English and Arabic languages .
