RFP: Standard Operating Procedures Consultancy

The Role 

Last Mile Health seeks consultancy support from an individual or firm with experience developing operational documents and/or guides related to pre-award funding pursuit processes, relationship management processes, and database use. Working with the Partnerships & Communications (P&C) Team, the consultant will help revise, and if needed, develop components of, the team’s Standard Operating Procedures (SOPs) for: relationship management; funding partner and opportunity vetting; pre-award proposal development; and Salesforce database use. SOPs are written guidance documents that define roles and responsibilities of team members, define terms and language, and describe process steps. SOPs also describe how to use tools that facilitate implementation of P&C Team processes. The consultant will engage key stakeholders in the P&C team and possibly with other teams at Last Mile Health to understand how LMH approaches partner cultivation and stewardship and refine documentation for operationalizing these approaches.

Project Details

  • Commitment – 3 months approximately with an immediate start date preferred 
  • Location – Remote
  • Remuneration – Please include your overall proposal cost in USD within your application materials. The consultant will be paid 30% of their fee upon completion of task 2 and 70% upon completion of task 5.

What You’ll Do

The following scope of work describes the key tasks to be accomplished through this consultancy.

TASK 1: Review existing SOPs and process tools; and develop a workplan, with timelines and interim milestones, to complete the project within 3 months

TASK 2: Convene a kick-off call with P&C Directors to review scope of work, ask questions, and refine the workplan.   

Deliverable: Convene Kick-off Call to present work plan

TASK 3: Produce draft operational guide in Microsoft Word or Google Docs, including revised process tools, for LMH relationship management and pre-award process, including Salesforce use. The audience for the guide is LMH staff, and written guidance should be clear, concise, and directive. The guide should include a table of contents and glossary of terms.

Deliverable: Draft guide.

TASK 4: Convene an interim check-in call with P&C Directors, and if needed, other LMH stakeholders to review the guide and collect feedback.

Deliverable: Interim check-in call

TASK 5: Finalize the guide and associated process tools in Microsoft Word or Google Docs based on feedback and deliver final product to the P&C team. 

Deliverable: Final guide

Potential Opportunity for Phase 2: Should the work prove mutually beneficial, there exists the possibility to extend the consultancy to include one additional task:

TASK 6: Use LMH’s partner vetting tool to review and assess each existing funding partner of Last Mile Health.

Deliverable: Completed partner vetting documentation for ~50 existing funding partners.

What You’ll Bring

  • 10 or more years of non-profit experience, with preference for individuals or organizations familiar with institutional philanthropy, proposal development, and donor cultivation.
  • Previous experience leading or consulting on an effort to document processes related to relationship management, proposal development, grants management, or related processes.
  • Strong project management experience and a demonstrated ability to stick to deadlines.
  • Excellent oral and written communication skills, with the ability to communicate in layperson terms.

Application Process

Individuals or firms with experience in designing, developing, and managing process/operational guides, are encouraged to submit a proposal. Proposals should include at a minimum:

  • Methodology, plan, and intermediate deliverables to accomplish scope of work
  • Time-bound work plan (Scope of work should be completed in approximately three months. Please include your estimated weekly or monthly hours.)
  • Resume, CV, and/or consultant profile
  • Summary listing of similar projects completed by the consultant that qualifies you to do this work, preferably for nonprofits with $25-$50M/year budgets
  • 2-3 client references who can speak to your relevant experience. 
  • Overall proposal cost in USD

Proposals should be no more than 5 pages in length and should be submitted as a single PDF inclusive of all supporting documents.
