The World Food Programme Somalia activities include relief assistance, safety-net support including school feeding, nutrition programmes and livelihood support through provision of in-kind and cash-based transfers and capacity strengthening.

Duties and Responsibilities:

 

Under the direct supervision of Administration Officer and overall supervision of Head of Garowe Office, the incumbent will be responsible for the following duties;

 

•Contribute to the implementation of WFP country and regional plans to ensure they are aligned with regional and wider WFP strategies and policies;
•Develop annual plans, contribute to longer-term strategies and improvements to policies, systems and procedures to ensure services provided support WFP strategic objectives and align with corporate policies, standards, regulations and processes; 
•Carry out complex data analysis to provide management and clients with accurate information and reports for efficient planning and decision-making; 
•Manage the existing resources in Administration and estimate new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services; 
•Facilitate the compliance of the services provided in line with the corporate Occupational Safety and Health Policy and give recommendations to the management on improvements/changes needed; 
•Support a culture of environmental sustainability throughout WFP by role modelling actions that drive sustainability in all administrative activities; 
•Guide and supervise junior staff, acting as a point of referral and supporting them with more complex analysis and queries;
•Build and maintain the partnership with WFP stakeholders, UN agencies and local government offices;
•Support the capacity building of WFP staff and partners through the design of trainings, workshops and daily interaction to ensure efficient and effective delivery of food assistance to beneficiaries;
•Follow standard emergency preparedness practices to ensure WFP can quickly respond and deploy food and needed resources to affected areas at the onset of crisis;
•Perform other Administration related duties as required.

Minimum Qualification:

 

Education: Advanced University degree in Business/Public Administration, Engineering, or other relevant field relating to office management and administration, or First University degree with additional years of related work experience and/or training/courses.

 

Experience: 
At least three years or more of professional experience in administration and facilities management with a private or public
sector organization. Experience in managing several large multicultural teams, leading projects and developing function policies is essential.

 

Language: Fluency in both oral and written communication in English and Somalia is a requirement.

 

Knowledge & Skills:

  • Excellent communication and interpersonal skills.
  • Strong organizational skills and ability to successfully manage multiple tasks simultaneously.
  • Strong leadership skills and proven experience in managing a team
  • Strong analytical skills 
  • General knowledge of UN system policies, rules, regulations and procedures governing administration is highly desirable. 
  • Proficiency knowledge in Microsoft Office packages (MS Excel, MS Word and MS PowerPoint).
