Position overview

The Human Resources (HR) / Administration (Admin) Associate Manager will play a key role in sourcing and managing talent within GiveDirectly’s growing Mozambique field operations, as well as managing core office and administrative functions. The HR / Admin Associate Manager will build robust protocols to support rapid onboarding of staff and cost-effective monitoring of ongoing performance. The HR/ Admin Associate Manager will also play an important role in managing the country office by procuring inventory and supplies, helping to implement systems, and providing administrative leverage to the management team. The HR / Admin position will award exceptional communication skills, strong attention to detail, exceptional organizational skills, rapid problem-solving for a range of logistical challenges and a deep interest in building and scaling GD’s organizational culture and values.

Responsibilities

Talent Recruitment

  • Assist on recruitment and sourcing top talent for all open positions
  • Own candidate screening, including resume reviews and coordination with candidates
  • Ensure high quality onboarding of new staff, including orientation on HR manual and benefits / payroll set-up
  • Assist with professional development training and planning

Talent Administration

  • Facilitate benefits provision and coordinate with insurance providers
  • Maintain up-to-date personnel files
  • Oversee leave management and staff timesheets
  • Answer staff questions related to HR policy and assist with disciplinary actions 

Talent and Performance management / tracking

  • Design and own systems for regular performance tracking, including links to payroll where appropriate
  • Provide administrative support during review cycles, including scheduling and updating system to reflect changes in title / compensation

Procurement

  • Assist in initial procurement of inventory and supplies
  • Assist management team with the implementation of procurement policy
  • Coordinate with vendors on delivery, repair, and maintenance of procured supplies (including equipment used by our field officers and mobile phones used by our recipients) 

Inventory management

  • Maintain a record of all GD property, and make replacement recommendations
  • Enforce protocols on staff handling / tracking of GD property and overall adherence to safe-storage policies
  • Maintain insurance coverage for phones and other valuable inventory

Office security and maintenance

  • Source for field office locations as needed 
  • Oversee steady-state office upkeep, including liaising with the landlord for maintenance fixes and groundskeeping 
  • Manage security guard services at project office and liaise with security providers to insure maximum use of their services to provide adequate security and safety
  • Ensure that all office equipment is stored safely

Misc. logistics/admin support

  • Manage mobile-money / petty-cash accounts and track expenditures in an organized, detailed, and verifiable manner
  • Remit miscellaneous payments to vendors and staff as necessary
  • Assist with ad hoc logistical tasks to ensure smooth running of office functions and team events (retreat set-up, internet breaks, etc.)
  • Oversee coordination for high-priority visitors
  • Provide management team with personal travel and admin support

Team Culture and Values

  • Ensure organisational values and culture is maintained 
  • Own tracking and measurement of personal sustainability and wellbeing barometers
  • Lead on implementing activities and events oriented around team-building
  • Facilitate initiatives to codify and promote GD’s culture and values

Qualifications

  • Diploma or Degree in Busineness Administration or Human Resource Management
  • Minimum 3 years generalist HR experience preferably gained within NGOs
  • Fluent in English and Portuguese
  • Exceptional organizational skills and attention to detail 
  • Exceptional communication skills, including ability to navigate challenging HR situations that involve complex interpersonal dynamics
  • Capacity for motivating and building consensus across a large team
  • Proficiency with MS Excel and Word an added advantage
  • Strong ownership mindset and ability to work in a self-directed manner
  • Comfortable operating in a culture of direct, candid feedback
