ORGANIZATIONAL CONTEXT

The Private Partnerships and Fundraising Division (PPF) is responsible for engaging the private sector (corporations, individuals, foundations) through high-impact partnerships in support of WFP's strategic priorities, and through individual giving to build and retain support from the general public worldwide. Partnerships are both fundraising and technical in nature, with some bringing purely financial resources to the organization, whereas other bringing in-kind support, in the form of expertise and assets.  PPF strives to mobilize funding, technical assistance, innovative solutions, visibility and awareness to help WFP fulfil its mission and operations. PPF also provides guidance to WFP Regional Bureaus (RBs), Country Offices (COs) and HQ Technical Units on partnership development, best practices, as well as compliance with rules and regulations for engaging with the private sector. Joining PPF is an exciting opportunity for experienced professionals to co-develop and implement our new private partnerships and fundraising strategy.

 

PURPOSE OF THE ASSIGNMENT

Reporting to the Special Assistant and Head of Admin, the Junior Project Coordinator will contribute to supporting senior leadership in coordinating the day-to-day operations of the division. Our ideal candidate is someone proactive, creative, reliable, flexible, and enthusiastic about working within a multicultural environment.

 

ACCOUNTABILITIES / RESPONSIBILITIES

  • Support the Special Assistant and Head of Admin to coordinate across projects to reach collective team goals.
  • Track strategy implementation activities and manage communication to meet deadlines, advising colleagues on due dates, and providing the team with agenda and action items for meetings, by using project management tools as support platforms
  • Monitor and report consistently project status to management, supporting in identification of potential conflicts and facilitating workload distribution.
  • Respond to queries of internal and external customers in support of the Special Assistant and Head of Admin
  • Facilitate communication within the team by overseeing the organization of regular divisional calls and establish innovative communication channels.
  • Support the Special Assistant and Head of Admin with the organization and coordination of divisional activities, social events, workshops, and meetings to promote an engaging and positive culture within the division both in-person and virtually.
  • Draft correspondence on behalf of senior management and occasionally for the Special Assistant and Head of Admin.
  • Develop a divisional calendar to help team leads have an overview of the upcoming engagements and improve planning process.
  • Each week draft a report outlining the engagements of the Directors for wider circulation within the division.
  • Support in the activities around planning and quarterly reviews by scheduling meetings, collecting information, reviewing templates, collecting feedback and streamlining information received.
  • Coordinate and follow up on the agreed next steps taken in the Steering Team of the division’s culture programme; review the progress of the project’s implementation, lead on creation of communication material on the programme and support in integrating the programme with the wider activities promoted in the organization.
  • With the support of the Special Assistant and Head of Admin, review the current onboarding on the administrative processes for new joiners and enhance the way information is communicated.
  • Develop user-friendly and visual material to support broader onboarding activities that will help new joiners understand WFP, its rules and regulations.
  • Prepare internal and external-facing presentations on MSPowerPoint and other applications/tools as needed to support organization of meetings, workshops, events and all-hands sessions
  • Take meeting minutes and assist with meeting facilitation when needed.
  • Manage files, documents and confidential assets creating a secure repository for internal use.
  • Ensure that divisional activities within your remit and oversight follow WFP Rules and Regulations. Other responsibilities as required.

           DELIVERABLES AT THE END OF THE CONTRACT

  • Successful support in coordination and tracking of divisional activities, including the creation of a divisional calendar.
  • Drafting of reports, research, briefing and presentation materials, including presentations to new staff and to external partners.
  • Reliable and timely organization of information, communications, confidential assets, and other materials, including consistent supervision of internal processes
  • Efficient coordination of divisional activities.

 

QUALIFICATIONS AND EXPERIENCE REQUIRED

Education

  • Completed high school education, a University degree in Business Management, International Management, International Relations, Political Sciences is a plus.

 

 

Work history

  • 1-2 years progressive experience working in an administrative role, project management experience is highly desirable.

 

Technical expertise

 

  • Advanced computer skills in Microsoft Office applications: proficiency in Word and PowerPoint
  • Technically savvy with ability to use SharePoint and project management tool.
  • Demonstrated ability to work in a fast-paced environment.
  • Strong time management, research & analytical skills.

 

Soft skills

  • Highly organized with exceptional planning skills to deliver on commitments.
  • Outstanding attention to detail.
  • Ability to think creatively and strategically.
  • Excellent communicator with ability to work collaboratively with colleagues across different cultures, disciplines, and time zones.

  • Outstanding organizational skills, able to work to tight and multiple deadlines and prioritize workload.
  • Excellent written and verbal communication skills with all levels of management and staff.

 

Language(s)

  • Excellent command of spoken and written English
  • Intermediate knowledge of another official UN language would be a plus (Arabic, Chinese, French, Russian, Spanish).
