BACKGROUND
Purpose of Activity/ Assignment:
The purpose of this consultancy is to provide administrative support to the Director of WASH & CEED Programme Team for effective delivery of the planned activities in the 2022 Annual workplan.
Scope of Work:
- Provide Administrative Support to Director WASH & CEED – Calendar Management and Speaking Engagements
- Support with arranging both internal and external meetings, conference calls, coordinating staff, ensuring calendars and schedule is up to date.
- Support the director by following up on upcoming speaking arrangements and ensuring briefing notes, talking points and background information is provided
End Result(s)
Director’s calendar is up to date and prepared for meetings in advance
- Contract processing and payment
- Support the processing of all necessary documents for raising new including all the associated administrative follow up.
- Support processing of payments of all the on-going contracts as identified by WASH.
- Ensure maintenance of electronic & hard copy files for all relevant contracts / agreements / reports (Progress & Final) and upload to relevant SharePoint folders.

Well documented record of contracts / agreement, payments and reporting
- Recruitment of Consultants and TAs
- Support the recruitment process for engagement of new consultants and TAs; and prepare all the necessary documents for submission to PSU including associated administrative follow up.
- Keep contract records (electronic and hard copy files) for all the consultants and TAs engage by the sanitation team.

Well documented and on time communication with consultants/TAs contracts
- General Administrative Support for WASH Section
- Provide necessary backup for other programme assistants in WASH section as required.
- Process all ad-hoc service gateway requests related to IT, HR, as necessary
- Provide updates on grants balances using vision and insight

Terms of Reference / Key Deliverables:
- Support to WASH Section in all contracts and invoice processing
- Ensure that documents are saved in SharePoint
- Attend team meetings
- Calendar management
- Events coordination
- Travel arrangements
Qualifications
Education:
- Bachelor’s in business, HR, Accounting, Social Sciences, or other related field.
Work experience:
- A minimum of five (5) years of relevant administrative or programme assistant work experience.
- Bachelor’s/ Associates degree is a minimum requirement
- At least intermediate knowledge in the Microsoft Suite of Products (including MS Word, Excel, etc.) is required.
- Prior experience in data entry, organizing meetings, etc. is highly desirable
- Knowledge of UNICEF/UN System rules, regulations, procedures and systems is considered an asset.
- Good knowledge of VISION SAP.
- Experience using SharePoint
- An excellent command of the English language is required (writing, speaking, and comprehension).
- Knowledge of UN/UNICEF'S rules, regulations and procedures is considered an asset.
Requirements:
- Completed profile in UNICEF's e-Recruitment system and provide Personal History Form (P11) Upload copy of academic credentials
- Financial proposal that will include:

your daily/monthly rate (in US$) to undertake the terms of reference.
- travel costs and daily subsistence allowance, if internationally recruited or travel is required as per TOR.
- Any other estimated costs: visa, health insurance, and living costs as applicable.
- Indicate your availability
- Any emergent / unforeseen duty travel and related expenses will be covered by UNICEF.
- At the time the contract is awarded, the selected candidate must have in place current health insurance coverage.
- Payment of professional fees will be based on submission of agreed satisfactory deliverables. UNICEF reserves the right to withhold payment in case the deliverables submitted are not up to the required standard or in case of delays in submitting the deliverables on the part of the consultant.
U.S. Visa information:
With the exception of the US Citizens, G4 Visa and Green Card holders, should the selected candidate and his/her household members reside in the United States under a different visa, the consultant and his/her household members are required to change their visa status to G4, and the consultant’s household members (spouse) will require an Employment Authorization Card (EAD) to be able to work, even if he/she was authorized to work under the visa held prior to switching to G4.
