Accountant CEE/CIS/ME (f/m/d)
Location: Poland, Warsaw
Duration: 12 - 18 months
Mission
The Accountant is responsible to keep books in line with Polish legislation, manage cash and bank accounts, to ensure budgeting, reporting & controlling according to standards, to provide support for setting-up standard administration and financial procedures as well as to assist with payroll and tenders for procurement.
Tasks and Responsibilities:
Budgeting and Budget Control
- Prepares the budget for the Branch Office Warsaw thereby ensuring technical correctness of the budget including chart of accounts application; prepares budget deviation information
Accounting and Internal Control
- Is responsible to fully set up the accounting work in the Branch Office based on SOS CV standard financial software (MS Dynamics 365), in line with the Polish legislation as well as SOS Federation standards
- Keeps the Branch Office’s accountancy and is responsible for reporting to the local authorities
- Supports the Regional Finance Officer in developing and implementing financial procedures and internal control regulations to ensure compliance in the financial administration of the office
- Supports the Regional Finance Officer in conducting internal audits upon request
Reporting
- Ensures that financial reports are provided in time to the relevant government authorities including payment of related taxes, social security contributions, etc.
- Prepares regular financial reports and BVA analysis for the Branch Office Management, the Regional Finance Officer, and other stakeholders in accurate and timely manner
Cash and Funds Management
- Responsible for cash management and regular cash reconciliation for the Branch office as well as management of bank accounts, debit/credit card payments
- Oversees the liquidity situation of the Branch Office and requests funds transfers from the International Office
External Audit
- Procures audit services for the office in Warsaw in line with SOS Federation standards and supports a smooth audit process on a yearly base
- Prepares annual Financial Statements of the Branch Office and supports a successful and timely completion of the audit process
Administration, payroll, procurement
- Supports in setting-up financial and office administration standard procedures
- Prepares the payroll and maintains personnel files
- Works closely with the Procurement Officer in following-up on tenders for procurement
- Is in charge of Fixed Assets management
Collaboration & reporting lines
- Reports to the Head of the Branch Office Warsaw, functional supervision by Regional Finance Officer
- Works closely with accountants and finance staff in offices in Tallinn, Kiev and Vienna
- Cooperates regularly with the Regional Director Finance and Controlling
Requirements:
- University degree or secondary education in Accounting, finance management
- Certifiied accountant with ability and authority to keep books and payroll in line with Polish legislation
- 5 years work experience as an accountant in Poland
- Strong organizational and problem solving skills, self-steered work approach
- Motivated by supporting the set up of a new office operations and the related financial administration
- Ability to adapt to changing circumstances, work under pressure and cope with stress
- Experience in working with colleagues from different backgrounds and cultures
- Proficiency Polish and English; Ukrainian or Russian language skills are an asset
- Advanced computer skills (Windows, word, Excel, power point, etc.); knowledge of MS Dynamics D365 is an asset.
- Experience in the humanitarian aid and/or development sector is an added value
