1.     Organizational Context

 

  1. Organizational Setting

 

This is a project post located under the Capital Master Plan funded WIPO IP Portal Program. The program is aimed at introducing a single common IT platform (hereinafter referred to as “the WIPO IP Portal”), which connects the multiple IT platforms supporting the WIPO Global IP systems and the services of the WIPO Arbitration and Mediation Center (AMC). The WIPO IP Portal provides a single entry portal to users of WIPO Global Protection systems services and AMC services via a single WIPO account for each user and implement a user-friendly navigation policy with a common user interface and a central payment portal using a new global payment system.

 

  1. Purpose Statement

 

The main role of the incumbent is to gather external and internal requirements, produce business specifications and follow through their implementation for the projects under the WIPO IP Portal Program portfolio, such as the Customer Experience Project and the Customer Relationship Management Project. The incumbent is expected to perform duties with a high degree of independence, initiative, and judgement.

 

  1. Reporting Lines

 

The incumbent works under the supervision of the WIPO IP Portal Senior Project Manager.

 

 

2.     Duties and Responsibilities

 

The incumbent will perform the following principal duties\:

 

a.  Analyze and document current business processes and user journeys, identifying and filling gaps in documentation where required.

 

b.  Identify and propose business process-related improvements and optimizations with the aim to provide a converged customer experience and improved account management.

 

c.  Gather detailed internal and external user requirements via workshops, questionnaires, surveys, workflow storyboards, use cases, scenarios, and other methods.

 

d.  Perform work-flow analysis and optimization based on bottom-up analysis of existing business rules and transactions and propose enhancement solutions.

 

e.  Liaise with business representatives, internal and external stakeholders and users to ensure validity of inputs to business analysis tasks and to validate the results of any proposed changes.

 

f.   Develop and document clear and unambiguous business requirements for IT functionalities and process improvements, including impact analysis, functional specifications, user stories, acceptance criteria, use case diagrams, data and process flow diagrams, etc.

 

g.  Actively collaborate with multiple WIPO IT teams to ensure business specifications are properly understood by all stakeholders and translated into effective solution designs.

 

h.  Coordinate with the testing manager that internal and external user acceptance testing during iterative development cycles is effectively performed to ensure that products meet functional specifications and customer quality expectations.

 

i.   Assist other members of the project team in the definition and implementation of suitable tools and techniques to ensure rapid delivery of the required software components.

 

j.   Provide support for the preparation of periodic reports to management.

 

k.  Perform other related duties as required.

 

 

3.     Requirements

 

Education (Essential)

First-level university degree in Management, Information Technology, Human Sciences or a related field.

 

Certification in Business Analysis or Business Process Modelling.

 

Education (Desirable)

Advanced university degree in Management, Information Technology, or a related field.

 

Certification in CRM, MRP or ERP, software development, or data management.

 

Experience (Essential)

At least six years of experience in business analysis, including extensive experience in Information Technology software application development projects, creation of requirements and acceptance criteria for Information Technology systems, business process and data workflow analysis, conducting user interviews and feedback sessions.

 

Experience in performing complex analysis and communicating the results to a varied group of stakeholders.

 

Experience in IT solution design process.

 

Experience with Agile.

 

Experience (Desirable)

Experience in customer data management, following best practices and policies.

 

Experience in Customer Experience, User Experience or Customer Relationship Management.

 

Experience in an international environment.

 

Language (Essential)

Excellent knowledge of written and spoken English.

 

Language (Desirable)

Knowledge of other UN languages (Arabic, Chinese, French, Russian or Spanish).

5.      Information

 

Mobility\:  WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities, office or duty station of the Organization.  Accordingly, the selected candidate may be required to move from time to time to new functions and/or to another duty station.

 

Annual salary\:

Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment.  Please note that this estimate is for information only.  The post adjustment multiplier (cost of living allowance) is variable and subject to change (increase or decrease) without notice.  The figures quoted below are based on the November 2022 rate of 78.6%

Salaries and allowances are paid in Swiss francs at the official rate of exchange of the United Nations.

Additional Information

 

Initial period of one year, renewable, subject to funding and satisfactory performance.  Fixed-term appointments granted for approved projects shall be for a period whose minimum and maximum duration are tied to the funding and terms of reference of the project.  The overall duration of a fixed-term appointment for a project shall normally not exceed five years.  Fixed-term appointments granted for approved projects shall not be converted to a permanent or continuing appointment.
