Organizational Setting

The Department of Management (MT) provides a ‘platform of services’ that serves as a foundation for the successful delivery of the IAEA’s scientific and technical programmes. Its mission statement is as follows\: “MT is a partner and a business enabler that champions change and efficiency, leveraging a common purpose”. Thus, among other support activities, it assists a scientific manager in recruiting the right expert, helps a technical officer coordinate the purchase of radiation equipment, and ensures that all Board documents are translated and distributed on a timely basis to Member States.

The Division of General Services provides service functions throughout the IAEA such as travel and transport support, facilities management, archives and records management, and management of the VIC Commissary. It has five sections.

The Commissary Management Section manages the Commissary at the Vienna International Centre. The Commissary is a tax and duty-free store that is operated under the authority of the Director General of the IAEA. It was established as a self-sustaining and non-profit making operation in order to facilitate the purchase of limited quantities of consumer goods by the diplomats of Permanent Missions of Member States accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

 

Main Purpose

Under the guidance of the Retail Operations Manager (ROM), the Unit Head oversees and is responsible for the operation in the Salesroom and Warehouse. She/he creates and maintains an interesting and engaging store setup including layout, product locations, promotions and advertisements. The Unit Head uses state-of-the-art techniques and technologies to increase customers' convenience and satisfaction and ensures an optimal processing of customers, goods and services. The Unit Head is responsible for an optimal workflow in the warehouse which entails a fast exchange of goods and communication amongst the Units.

The Unit Head(Sales and Warehouse) is\: (1) an organizer ensuring a smooth, efficient and professional operation; (2) a specialist in the sales, storage and marketing of consumer products; (3) a planner developing and establishing layouts, processes and workflows; (4) a focal point in dealing with operational, customer or staff related issues.

 

Functions / Key Results Expected

 

Organize and supervise the day-to-day operations of the Salesroom and the Warehouse, ensuring optimal deployment of staff resources in a fast-paced environment with an emphasis on quality of service and customer orientation; provide guidance, training, supervision and performance evaluation of the staff in the Sales and Warehouse Unit.

Ensure a high-level customer satisfaction by establishing and maintaining an interesting and engaging shop environment in all areas. Arrange for optimal presentation and handling of goods by using state of the art techniques and technologies.

Organise an optimal flow of goods and services between the Groups. Set up systems, procedures and workflows to ensure the availability of merchandise on the sales floor, considering minimum quantities, order frequencies, expiry dates, customer buying patterns and seasonal fluctuations of demand to avoid out of shelf situations.

Prepare sales forecasts, analyze budget variances and propose corrective actions.

Initiate and implement operational policies and procedures to further increase customer convenience and service level, as well as to maximise sales in the Commissary. She/he is the liaison person for all building and construction projects carried out in the Sales and Warehouse areas.

Generate savings by optimizing the use of existing resources. Continuously review and streamline procedures based on best commercial practices, ensuring high degree of efficiency whilst avoiding unnecessary cost and actions.

Oversee and coordinate the supplier and third-party advertising in the sales areas and liaise with suppliers and contractors.

Qualifications, Experience and Language skills

Supervisory experience required.

Excellent oral and written command of English. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) is an asset.

 

Remuneration

 

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at US $64121 (subject to mandatory deductions for pension contributions and health insurance), a variable post adjustment which currently amounts to US $ 27187, dependency benefits, rental subsidy, education grant, relocation and repatriation expenses; 6 weeks' annual vacation, home leave, pension plan and health insurance
