People Services Manager
Permanent, Full Time – 40 hours per week
Location – Thornhill, Dumfries and Galloway (hybrid working possible)
Salary – £35,000 - £40,000 depending upon experience

The HALO Trust is seeking a talented People Services Manager to oversee the work of the People Services Team who are responsible for the HR Administration, Travel and Admin for UK and International employees.
Job Purpose
To lead the People Services function and accountable for ensuring that all queries are dealt with in an efficient manner and a right first-time approach. Accountable for service improvements across the colleague pathway and making sure our colleagues are supported through providing an effective and timely service.
Key working relationships (internal): Director of Human Resources, HR team, Colleagues
Key working relationships (external): Diversity Travel
Responsible to: Director of Human Resources
Location: The role will be based at HALO’s office in Thornhill, Dumfries and Galloway and can be done on a hybrid basis for the right candidate.
Key Responsibilities
- Oversee the People Services department ensuring a timely and right first-time service is provided to colleagues.
- Act as the escalation point for general queries from staff on HR administration travel and admin matters.
- With the Head of Employee Engagement, coordinate the annual appraisal data processing ensuring accurate reporting to payroll.
- Create and implement a service improvement plan that streamlines and improves processes with enhanced technology.
- Be accountable for the production of monthly HR KPI reporting data
- Line manager the HR admin and travel and admin teams
- Oversee completion of admin work within the HQ office and cleaning duties in the office and Thornhill cottage
- Be accountable for arranging quarterly review meetings with our travel supplier.
- Monitor travel spend and provide reports on actual spend and areas for improvements

- Excellent organisational and time management skills, with the ability to work autonomously and prioritise tasks in a busy and fast paced environment.
- Excellent customer service/ skills with experience of providing efficient and high quality communicating to supporters or customers, building their engagement and loyalty.
- Excellent administrative skills and experience
- Numerate - able to work comfortably with spreadsheets and information.
- Strong interpersonal skills, with the ability to collaborate effectively.
- Experience of providing administrative support in a busy team to tight deadlines
- Excellent written skills and ability to prepare engaging and appropriate communications to HALO’s staff and as well as provide written content for the wider team, as required.
- A commitment to HALO’s mission and objectives Tenacious, self-starting, and able to thrive in a fluid, entrepreneurial context
- Collaborative, team player, with a good sense of humour
- High standards and a strong sense of pride in your work and commitment to ensuring supporters receive the best possible experience with HALO
- Proven experience of leading a team
Desirable Qualities
- Individual giving/supporter relations experience
- Experience of working in a geographically dispersed large organisation
- HR Generalist
- Process improvement experience
All HALO staff are expected to undertake the following general duties:
- Work within the framework of HALO’s core values, promoting its ethos and mission statement
- Work towards achieving programme and/or group business plan objectives
- Ensure familiarity with and adhere to all HALO policies and procedures and keep informed of HALO activities
- Travel overseas as and when required
- To discharge duties and responsibilities under HALO’s Health and Safety Procedures which may include Risk and COSHH Assessments and participation in evacuation procedures, as necessary.
