OVERVIEW OF THE FUNCTIONS OF THE POST

PURPOSE OF THE CONTRACT:

The incumbent will assist and support to the National Officer for Science providing support to the organization and delivery of programme activities/projects carrying out a range of office support and administrative functions. In addition, as a team member will support the implementation of activities in research, science, technology and innovation, among others, in advancing the Science sector agenda and will also assist in the development and implementation of activities under the supervision of the National Officer for Science. 

 

Long Description

ROLES AND RESPONSIBILITIES OF THE INCUMBENT:

  • Provide support in the evaluation of projects, assessments, and programmes (funded within C/5 and extra budgetary funds). Provide input to the National Officer for Science (NO) in the preparation of reports on the implementation of programmes and projects and other briefings as may be required by the UNESCO Quito Office or Headquarters, using relevant tools.
  • Support in the search, compilation, review and update information and data used in the development of documents, work plans and budgets, preparation of regular and ad-hoc budgetary/financial updates. Provide administrative support for fund raising activities. Prepare a variety of administrative documentation; initiate administrative procedures and ensure follow-up, including payment follow-up in collaboration with the Administrative Officer of the Office. Ensure that documents are complete, correct and compliant with the rules, regulations and procedures. Additionally, assist in the preparation of budget, check completeness, accuracy and compliance of documentation.
  • Support to the NO in the conceptualization, design, planning, development, coordination, monitoring and implementation of the Field Office’s Natural Sciences Strategy and its corresponding programmes, projects, assessments, and activities.
  • Organize official meetings, events and workshops by booking venues, equipment and providing other related logistical support. Organize official travels in conjunction with meetings, events and workshops; make travel arrangements; track and prepare itinerary agenda. Provide administrative support for the events, inform participants, organize the distribution of documentation, collect minutes, and prepare associated documentation.

DURATION OF THE CONTRACT:

 

From the signature of the contract until December 31, 2024.

Possibility of renewal according to the performance of the incumbent, funds availability and organizational needs.

 

PLACE AND HOURS OF WORK:

 

The professional will perform their tasks and responsibilities in person and virtually in the City of Quito, under the overall authority of the Director of the Office and the supervision of the National Officer for Science, of UNESCO in Quito.

REQUIRED QUALIFICATIONS Education and experience:
  • University degree (bachelor or equivalent) or more, in one of the fields of Basic Sciences, Natural Sciences, Management Studies or related areas.

Knowledge, skills and abilities:

  • Good analytical, organizational and project management skills.
  • Excellent coordination and interpersonal skills.
  • Ability to collect, consolidate, synthesize, and analyze information from various sources.
  • Capacity to build and maintain effective working relations in a multidisciplinary and multicultural environment and with relevant institutions, intergovernmental and non-governmental organizations.
  • Proven ability to communicate and negotiate effectively and persuasively (orally and in writing) with various stakeholders at all levels, within and outside the organization in Basic Sciences.
  • Solid IT skills including knowledge of office software.
DESIRABLE QUALIFICATIONS

Management of procedures and management of the United Nations system and UNESCO (desirable).
