Background Information - Job-specific

The United Nations Department of Field Support, Logistics Support Division (UN DFS-LSD) is responsible for implementing Supply Chain Management in support of the Departments of Peacekeeping Operations and Field Support (DPKO/DFS) missions as well as Special Political Missions (SPMs). 

The United Nations Department of Field Support is responsible for the delivery of applications that satisfy the requirements of the Departments of Peacekeeping Operations and Field Support (DPKO/DFS) missions as well as Special Political Missions (SPMs).

DFS has implemented a range of systems to address the principal requirements of peacekeeping operations and to support and enhance the processes DFS undertakes.

Umoja is the project approved by the General Assembly resolution 63/262 that aims at the transformation of the United Nations Secretariat by enabling high-quality, cost-effective service delivery to support the execution of evolving mandates everywhere the Organization operates.

Umoja, which means "unity" in Swahili, will unite the many support and administrative entities throughout the Secretariat, including in peacekeeping and field missions, through re-designed and common processes for the management of all financial, human and physical resources; a single integrated information system; and training of staff.

UNOPS has been requested to assist in the implementation of this activity.

The results of work of the Project Support Assistant impacts directly on delivery of services that satisfy the requirements of the Department as well as the performance of the services implemented in the DFS/DPKO field missions and headquarters. It will also ensure proper processes and methodologies are followed and implemented according to the latest of the industry standards. The incumbent is responsible for ensuring activities for all global locations are in line with the overall business targets and UN policies, rules and regulations.

UNOPS has been requested to assist in the implementation of this activity.

Functional Responsibilities

He/she will extract data from various systems, compile and analyze data and produce reports, presentations

He/she will carry out administrative duties by collecting data, sorting, filing and sending out project files to the right personnel, workers, and stakeholders

He/she takes records of all project items, and sees to it that they are adequately delivered to the various departments as directed by the project manager

He/she will carry out administrative duties such as, facilitating meetings, producing meeting meetings and action items, distributing to all participants and following up on action items

Make arrangements for meetings, presentations, seminars and trainings being organized and call the attention of the manager to them where and when they are need

Provide support and creates balance in the time and scope of executing projects under the direct supervision of the project manager

Provide day to day support to project team

Education

Secondary education with 5 years of relevant work experience in programme, project management and/or administrative support or

A first level University degree in Business Administration and related fields with 1 year of relevant work experience

Experience

Experience working in an international or multi-cultural organization or environment is desirable.

Experience working with SAP/Umoja is highly desirable

Knowledge of MS Office, MS Project is desirable

Excellent organizational skills, attention to detail, and ability to multi-ask

Ability to work independently as well as in a team environment

Languages

Fluent in written and oral English
