Introduction:

The Global Green Growth Institute (GGGI) is a new international organization committed to strong, inclusive green growth. We assist developing and emerging countries with integrating their ambitions for strong economic performance and environmental sustainability with the goal of bringing about poverty reduction, job creation, social inclusion, and climate change mitigation and adaptation.

 

Headquartered in Seoul, GGGI was established by treaty in June 2012 at the United Nations Rio+20 Conference by an initial group of eighteen nations who share the organization’s vision. As of 2014, there are total of 22 Member Countries who joined the organization.

 

GGGI has a diverse portfolio of programs in developing countries around the world. These in-country programs, together with global products and services, focus on delivering results through an integrated approach of evidence-based green growth planning and implementation aligned to countries’ development priorities. The organization also focuses on knowledge development and management activities which build a strong theoretical and empirical basis for green growth, while providing concrete options and guidance for policymakers; as well as building the conditions for public and private green infrastructure investments. 

 

Objectives/Purpose of the Assignment:

GGGI is deploying a Document Management System (DMS) to store essential files as records. This system is implemented in Microsoft SharePoint Online. GGGI needs assistance with the manual upload of files across units/teams to Document Management System (DMS) and ensure that necessary metadata are added correctly and that guidelines are followed.

 

Scope of Work:

  • Gather files from GGGI units/teams to be recorded in the Document Management System (DMS)
  • Assist in advising GGGI units/teams on related policies and guidelines on how files should be recorded/uploaded in Document Management Systems (DMS).
  • Gather and verify required metadata on records from Data/Record Owner.
  • Convert scanned files to searchable files using the Optical Character Recognition (OCR) software
  • Upload files to the Document Management System (DMS) and input/verify the necessary metadata
  • Any other tasks assigned by the Head of Technology Services.

 

Output/Reporting Requirements/Deliverables:

  • Files uploaded correctly to Document Management System (DMS) adhering to the set policies and guidelines.
  • Submission of Weekly Accomplishment and Progress Report

 

Qualifications/Experience/Expertise

  • Experience with Microsoft SharePoint or other document management systems is an advantage
  • Experience with data entry is an advantage
  • English communication skills and great attention to detail
  • Ability to quickly learn new systems and processes
  • Problem-solving and analytical skills
