UN Web Buy Plus is an e-Commerce platform providing vehicles and other equipment and commodities to the humanitarian aid and development sector.

Under the guidance and direct supervision of the Team Manager, the UN Web Buy Catalogue Administrator will be responsible for maintaining and improving the catalogue of the items displayed through UN Web Buy.  He/she will also be responsible for the maintenance of freight rates and the coordination of freight issues in liaison with Category Management Team and the Freight Forwarders.

In the discharge of his/her duties, the UN Web Buy Catalogue Administrator will work with minimal supervision, liasing with the suppliers, freight forwarders,  and internal stakeholders.

The UN Web Buy team is looking for a detail oriented individual with a strong technical/engineering background enabling him/her to communicate effectively with the suppliers and the internal stakeholders, and to propose and provide solutions to the current challenges related to the UN Web Buy Plus catalogue.

The ideal candidate for the Catalogue Administrator role has keen interest in and a good knowledge of technical/engineering aspects related to the UN Web Buy Plus products, e.g. vehicles, solar power equipment, construction equipment, generators, etc…It would be an asset if the candidate also has some expertise within a global international trade and freight forwarding - in particular sea freight to difficult destinations in developing countries. In addition to that, the candidate shows adeptness and interest in working with electronic tools in general and our e-Commerce platform in particular.

Functional Responsibilities

Maintain and improve the UN Web Buy Catalogue
  • Review the functionality and user friendliness of the existing UN Web Buy catalogue
  • Identify and report the shortcomings of the catalogue and propose improvement solutions
  • Implement the proposed and approved catalogue improvements
  • Work closely with suppliers to improve product data in UN Web Buy Plus and maintain good supplier relationships
  • Display proactiveness and stay abreast with  market development (such as model changes, price revisions, and cut-off dates) of UN Web Buy Plus commodities and coordinate with suppliers and the team to ensure the changes are reflected in the catalogue

Support the design of new catalogues for new products added to UN Web Buy Plus

  • Create new catalogues in coordination with Category Management and on-board/ train new suppliers and freight forwarders  on the UN Web Buy Plus system
  • Provide input to the evaluation of supplier performance
  • Support development & rectification of other UN Web Buy features
  • Participate in testing of new UN Web Buy Plus functionalities.
  • Collaborate with the internal ICT development team to plan and implement new functionalities. Help improving exisiting functionalities
  • Assist the UN Web Buy team with producing demos  on new functionalities of UN Web Buy Plus

Provide knowledge, support and advice on technical aspects of the UN Web Buy products

  • Provide advice and support to the remaining UN Web Buy team members on technical aspects related to the UNWB products.
  • When required, assist clients with queries and concerns re. technical specifications of the products as well as the functionality of the catalogue 
  • Contribute to creating, commenting on and vetting technical specifications, logistics agreements and/or terms of references prior to tendering for new products to be placed on UNWB
  • If necessary, assist the clients with technical on site inspections for goods and/or services prior to shipment or service delivery

Other tasks and duties that may be required in relation to the work programme of UN Web Buy Plus

  • Ad hoc maintenance tasks
  • Participation in events and external meetings with suppliers and freight forwarders
  • Maintenance of user guides and support material. Producing new material if considered necessary.
  • Willignes to acquire knowledge on contract management (LTAs) and UNOPS procurement rules and regulations
  • Contribute to the work of the UN Web Buy team on the  update of internal  standard operational procedures and reflect these in PQMS (Process and Quality Management System)
  • Support the team and freight forwarders with freight management on UN Web Buy Plus
  • Provide advice on incoterms and logistics if needed
  • Willingness to maintain a good relationship with freight forwarders and support them in the use of the e-commere platform
  • Maintainance of logistics infosheet on country/product  specific rules and regulations and communication of updates with the UN Web Buy team
  • Participation in revamping of the freight management modul in UN Web Buy Plus in close cooperation with IT and other internal stakeholders

The key results have an impact on the deliverables of the UN Web Buy Team in terms of innovation of high-tech, complex and high value commodities, which secures UNOPS a position as a knowledge based leader in the aid and development sector and a technology contribution to UNOPS financial goals.

Education/Experience/Language requirements

Education:

  • Advanced Degree preferably in Engineering, Supply Chain Management, Logistics, Law, Commerce, Business Administration or Economics.
  • A bachelor degree in the same areas as above with additional 2 years of relevant qualifying experience may be accepted in lieu of Advanced Degree.

Experience:

  • Minimum of five years of professional experience in international trade with technical products related to and similar in nature to the UN Web Buy Plus products, e.g. vehicles, solar power equipment, construction equipment, generators, etc… or engineering work with the same products. It will be an asset if the above required experienced is combined and supplemented with solid exposure to freight forwarding issues including but not limited to shipping goods to difficult destinations in developing countries.

Language Requirements:

  • Fluency in written and spoken English.
