The Operation Section under UNICEF East Asia and Pacific Regional Office (EAPRO) and Thailand Country Office (TCO) is seeking an individual consultant to assist the team in facilitating the arrival of staff in the country on formalities, protocol, procedure, administrative functions which includes but not limited to document preparation, liaising with staff, coordinating with UN Protocol team or external parties in absence of Senior Administrative Associate Travel, serving as an alternate focal point and maintaining up-to-date document repository.

How can you make a difference?

The Operation Section under UNICEF East Asia and Pacific Regional Office (EAPRO) and Thailand Country Office (TCO) is seeking an individual consultant to assist the team in facilitating the arrival of staff in the country on formalities, protocol, procedure, administrative functions which includes but not limited to document preparation, liaising with staff, coordinating with UN Protocol team or external parties in absence of Senior Administrative Associate Travel, serving as an alternate focal point and maintaining up-to-date document repository. 

 

Work Assignment:

Under the supervision of Senior Administrative Associate Travel, the consultant will undertake the following tasks:

  • Covering the most complex part of preparing the request for Certificate of Entry.
  • Maintaining communication with incoming staff members regularly on required document.
  • Updating a list of Alternative State Quarantine (ASQ) and sharing with colleagues on bi-weekly basis.
  • Preparing Note Verbal to the MoFA and ensuring supporting document completed.
  • Scanning document to update the e-files.
  • Liaison with UN Returnees Task Team for updated information and submission of document.
  • Researching online information from Royal Thai Embassies’ website/facebook to check the Repatriation flights on a regular basis.
  • Updating a list of Repatriation flights and recording the same in UN Returnees Data files.
  • Performing due diligent work to ensure all document needed for submission to the Task Team is completed, accurate and aligning with current guideline provided by MoFA.
  • Ensuring relevant database on staff travel document is updated, and following up with staff when necessary.
  • Providing administrative support required to be fulfilled by Travel unit when requires.

 

Work Schedule:

The consultant is expected to perform the above work assignment based on agreed work plan with the supervisor of contract. 

 

End Product:

  • Monthly submission of deliverables per agreed work plan.
  • A submission of progress report is expected at the end of each month.

 

Estimated Duration of Contract:  3 months (full-time), staring as soon as possible  

 

Official Travel:  Office-based assignment.

 

To qualify as an advocate for every child you will have…

  • Completion of secondary education preferably supplemented by technical or university courses related to the work of the organization.
  • Minimum of 6 years of progressively responsible administrative work experience in supporting operations / programme management.
  • Experience with SAP-based back-office software, a strong asset.
  • Previous work experience with UN system, preferable.
  • Excellent Thai and English communication – verbal and written.
  • Familiar in providing support on travel administration.
  • Multi-tasking ability, strong problem-solving, planning, coping with pressure and work prioritizing skill.
  • Embracing new initiative - change, attentive to detail, drive for results and effective working in multi-cultural environment.
  • Computer literacy in MS Office also online researching.
  • Good teamwork skill, yet able to work independently.
  • Thai Nationality.

Consultants and individual contractors are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.
