Background & Rationale

Brazil Office Individual Giving Program counts with 225,000 active donors and needs to charge and monitor thousands monthly transactions with banks and electricity companies. A strong database maintenance, routines and specific demands or exceptions to automatic processes needs to be performed to assure the donations.

 

Purpose

Under the supervision of the Finance Associate, perform daily tasks and to keep the database updated and assure that every donor data recorded is accurate for processing. Support in the exchange of transactional batches between UNICEF and the banks, by keeping the batch files updated. 

 

Expected results:

  • Daily update UNICEF database both in terms of donors personal and financial data;
  • Weekly perform data processing and reconciliation routines, send and receive billing files, close accounting lots;
  • Prepare data donations and reports, review and revise the donations list and compiled batch;
  • Access billing and other types of reports from service providers and access the database to entry correspondent data;
  • Close accounting lots and send their results to the Finance Unit;
  • Receive the contact from donors for customized donor care whenever necessary;
  • Actively contact donors to update the payment or other information, when necessary;
  • Review and revise the record data in the system; 
  • Keep the evidence of pledge files organized and updated.
  • Research and retrieve the evidence of pledge whenever requested by donors or means of payment partners;
  • Import data Site into DPO System;
  • Prepare and send Batch the Finance Associate for review and sign;
  • Extract, prepare and close E-commerce batches;
  • Provide refund Donations as requested by Donor;
  • Prepare billing for slip payment (boleto bancário) and send it to a service providers;
  • Formulate report to DPO
  • Perform activities requested by the Finance Associate and the Marketing Officer related to the operation and daily work.

 

Timeframe

 

Start date:  April 01th 2021                 End date:   October 30th 2021

 

Deliverables: Perform the tasks listed above within deadlines as per supervisor request monthly

Duration: 30 Days each

Deadline: last day of each month

 

PERFORMANCE INDICATORS

Timely delivery of tasks, accuracy of data and documents, good organizing competencies

 

Key competences, technical background, and experience required 

  • Completion of Secondary education. University degree, Administration, Finance, Accounting or other related fields.
  • Knowledge of Excel and advanced office package.
  • Knowledge of Donor Perfect system is an asset
  • Two years working of experience in database fields.
  • Ability to follow instructions, Planning and Organizing competencies,
  • Fluency in Portuguese and working knowledge in English.

 

General Conditions 

  • UNICEF will provide the individual contractor all required core equipment and material for fulfilling his duty, including computer
  • No contract may commence unless the contract is signed by both UNICEF and individual Contractor
  • Individual contractor will not have supervisory responsibilities or authority on UNICEF budget.

Insurance and health coverage

  • The contractor is fully responsible for arranging, at his or her own expenses, such life, health and other forms of insurance covering the term of the contract as he or she considers appropriate. In Brazil, if the contractor whishes, he or she may opted to be covered by the national health system (SUS - Sistema Único de Saúde) by signing a health statement that all his or her regular and/or emergency health needs will be covered by the SUS.
  • The contractor is not eligible to participate in the life or health insurance schemes available to UNICEF and United Nations staff members.

Payment

  • The payment will be based on submission of agreed deliverables.
  • UNICEF reserves the right to withhold payment in case the deliverables submitted are not up to the required standard or in case of delays in submitting the deliverables on the part of the consultant.

Restrictions

In case of government officials, the contract cannot be issued without prior written clearance by the Government​, or unless on leave without pay.
