Overview of position

Under the overall supervision of the Procurement and Logistics Officer and the direct supervision of the Procurement and Logistics Officer the incumbent will perform the following tasks:

Role objectives

Assist in all Logistics and warehouse operations and inventory management systems, to support program objectives including but not limited to:

•           Coordinate with the Procurement and Programme team   regarding the reception of consignments in the warehouse.

•           Ensure that the quality/quantity of goods received in the Warehouse is according to standard specified in the purchase orders and the goods are stored/stacked properly.

•           Arrange for proper stacking of items, placing materials on racks, shelves, or in bins according to predetermined sequence such as size, type, style, color, or product code in the Warehouse.

•           Ensure that Stock Receiving Reports are received & that stock cards / bin cards are updated immediately in the Warehouse.

•           Ensure that all warehouse dispatches/receipts are supported by a fully approved Stock Withdrawal Forms, IOM Waybills and copies are kept on file and updated in the data base.

•           Ensure returned items are checked, received and record is updated the warehouse.

•           Report on the status of all loading, offloading, kitting, strapping, cargo movements, etc, as requested for Warehousing.

•           Assist the Procurement & Logistics Officer in supervising of the   cleaners, visibility items, drinking water tracking office supplies and stationery.

•           Assist in ensuring that all the IOM office and Warehouse premises are kept clean and tidy condition.

•           Assist in ensuring that all corridors, stairs, toilets and as may be necessary the surrounding area of the IOM office and Warehouse.

•           Counting inventory on a rotating basis to ensure accurate inventory records for IOM Warehouse.

•           Assist in the Mid-Year and Annual Physical Stock Counts in the Warehouse.

•           Assist the Procurement & Logistics Officer to monitor the supplies and condition of consumable cleaning tools and materials and report to the PLO and Procurement & Logistics Assistant on needed supplies and replenishments.

•           Arrange any kind of maintenance work, monitor generator operations and fuel  in the premises and report on any damages or repairs needed.

•           Take on any other tasks identified by the Procurement and Logistics Officers that may be necessary to ensure proper and timely management of warehousing and Logistics function.

•           Any other duty within the incumbent’s capabilities as assigned by the logistics Assistant and/or Procurement and Logistics Officer.

Reporting to the Procurement & Logistics Officer.
